Job Title: Chief of Staff

Location: Mumbai
Reporting To: CMD / CEO / Managing Director
Working Days: 6 Days a Week

Job Summary

The Chief of Staff (CoS) acts as a strategic and operational partner to the CMD, ensuring disciplined execution of priorities, effective time and calendar management, strong follow-through on decisions, and seamless coordination across functions. The role combines strategy, executive office management, and high-level coordination.

Key Responsibilities

Strategic Planning & Execution
• Translate CMD’s vision, directives, and strategic priorities into actionable plans
• Drive execution of cross-functional strategic initiatives and special projects
• Track progress on organisational goals, KPIs, and leadership deliverables

CMD Office, Calendar & Priority Management
• Own and manage the CMD’s calendar with a strong focus on priority alignment
• Schedule, confirm, and coordinate internal and external meetings (in-person, virtual, site visits)
• Prepare daily, weekly, and monthly agendas for the CMD
• Anticipate scheduling conflicts and proactively optimise time utilisation
• Coordinate travel plans, meeting logistics, and briefing schedules

CMD Tracker & To-Do List Management
• Maintain a comprehensive CMD tracker capturing decisions, action items, and commitments
• Create and update daily and weekly to-do lists for the CMD
• Track follow-ups with department heads and stakeholders for timely closure
• Monitor deadlines, dependencies, and escalations
• Provide regular status updates and reminders to ensure accountability

Cross-Functional Coordination
• Act as a single point of coordination between the CMD and all department heads
• Ensure smooth communication and information flow across functions
• Resolve bottlenecks and escalate critical matters proactively

Governance & Decision Support
• Support leadership, review, and board meetings
• Prepare presentations, MIS, briefing notes, and decision-support documents
• Document meeting minutes, action points, and track closures

Stakeholder Management
• Interface with senior internal and external stakeholders, investors, consultants, and partners
• Represent the CMD in meetings when required and ensure continuity of communication

Special Projects & Confidential Matters
• Handle sensitive and confidential assignments with the highest level of discretion
• Lead or support strategic initiatives such as expansions, restructuring, or new ventures

Minimum Qualification:

MBA or equivalent qualification preferred

Minimum Job Experience:

10–15+ years of experience in strategy, operations, executive office, or CXO support roles
